    Meeting called to order
  • Name and Device registration information
    • Gav was told that documentation for the name Orlova Dolina was good and will be forwarded up the chain
    • Compass Herald provided some minor concerns regarding the ship in the device
      • They will be sending the device to the next step towards approval.
      • The contrast of the colors on the ship and the device might not be sufficient.
      • There is some concern that the ship might need to be turned for submission, not viewed at an angle.
  • Coronation (September 13, 2008)
    • The Bemidji National Guard Armory is now the officially declared site for the event
      • It has a good deal of room, both indoors and outdoors, as well as parking.
      • It has a large kitchen, made to cook for 140 people three times a day
      • The site is wet
      • The site must be closed by 9PM, in order for clean up. It was determined by this time frame that the feast must end by 8PM.
      • Site fees do not have to be paid until after the event.
    • Specific general points of inquiry regarding preparation for the event.
      • People were adequately preparing for Japanese cuisine at the feast, but some research is needed for Danish food.
      • Malhora, as Chatelaine, will be coordinating gifts for TRMs and their presentation.
      • Merchant space and requirements will be coordinated.
      • Brynjolf will call Frederick with regards to list field requirements and list poles.
      • The idea of Commemorative tabards was fielded as a fundraiser, but it was determined that given the one time period of this event, it was best deferred to Brigid's Fyre, where overstock can be sold following years.
      • A request was fielded by the committee running Warriors and Warlords that they might wish to borrow our loaner tabards in an effort to open the event to the public. A stamp of an eagle or a ship will be put on the inside of tabards to demark them as belonging to Orlova Dolina.
    • Chatelaine Report-Malhora
      • Malhora announced that she was going to write an article about court courtesy and, provided enough material is available, courtesy for the Japanese feudal court for the next issue of Tradewinds to be published August 1.
      • She will contact TRHs to determine their colors/devices, persona periods, details on head table at the feast..
    • Decore Report-Arnlief
      • She had been awaiting more information about the site
      • She had been gathering resources and books with information about Japanese garb and décor.
      • She was in need of more specific information regarding device, colors to coordinate.
      • Vincent added:
        • The suggestion of a Tori which is the gate to a Shinto shrine over the entrance.
        • A wishing well.
      • Rice Paper Walls—various suggestions were fielded for a way of cheaply replicating rice paper walls. Various suggestions involved lining cloth from Anderson fabrics, or the use of butcher paper painted with mineral oil.
    • Feast Report—Keranadl
      • A rough budget was being figured, based on the numbers of 75 people eating.
      • The cost of the feast would be $8-9 a head with the cost to make at approximately $5 per head.
      • This would make the cost of the feast approximately $375, yielding a profit of $225
      • She has extensive knowledge of Japanese dishes from living there.
      • Many dishes, with many presentations. Small cups and dishes needed, Comgall was going to speak to his grandfather regarding the cups in an effort to procure some.
      • Svana will research Danish food, but needed to know a bit more specifically what period.
    • Tourney Report—Brynjolf
      • He would speak with Tristan to find out what is needed for Coronation tourney
      • A timeline of 2 weeks was needed to determine what was going to be required for the tourney and pick up fighting.
      • He said he would ask Sven about information regarding the list poles they had for their demo.
    • Financial Committee – Adorabelle
      • Offices that will form the committee are seneschal, exchequer, deputy exchequer, MoAS, and the populace representative
      • As officers change, so will the representatives in the committee; populace representative will be elected at a schedule determined by the committee
      • Current committee members are therefore: Gav (seneschal), Adorabelle (exchequer), Aelwfin (deputy exchequer), Svana (MoAS)
      • Dominika volunteered and was affirmed by the simple majority of the votes to be the populace representative in the committee.
      • Adorabelle will coordinate with committee members meeting time and location
